Privacy Policy

DXHUB Inc. (hereinafter, “us,” “we,” “our”) recognizes the importance of personal information of our customers, which constitutes their privacy, in the provision of each of our businesses. When handling personal information in the course of conducting our business activities, we will respect our customers and meet their expectations and trust in us by following laws and regulations concerning personal information, by establishing internal guidelines for the protection of personal information, and by putting in place an organizational structure that strives to protect personal information appropriately.

Collection, Use and Provision of Personal Information

We will specify the purpose of use of personal information within the scope of our business activities, and will acquire, use, and provide personal information fairly and appropriately to the extent necessary to achieve those purposes. We will also take steps to ensure that personal information obtained will not be used for any other purposes than those outlined.

Compliance with Laws and Regulations

We will establish and appropriately operate a personal information protection management system in compliance with the Japanese Industrial Standards “Personal Information Protection Management Systems – Requirements” (JIS Q 15001, 2017) in order to comply with laws, national guidelines, other norms and public policy regarding personal information. Information related to the confidentiality of communications, such as communication history, call history, and caller information, will be handled appropriately in accordance with Article 4 of the Telecommunications Business Law and other related regulations and guidelines.

Thorough Management of Personal Information

We are fully aware of the dangers associated with unauthorized access, loss, destruction, falsification, and leakage of obtained personal information. We will implement reasonable security measures and take appropriate corrective action if any problems arise.

Handling Complaints and Inquiries

We will respond to complaints and inquiries regarding personal information in our possession through the Personal Information Inquiry Desk, details of which are mentioned below.

Response to Inquiries

We will respond appropriately to inquiries from the person in question regarding the disclosure, correction, suspension of use, complaints, etc. of personal information in our possession.

Continuous Improvement

We will establish management regulations and a management system for the protection of personal information, ensure that all employees thoroughly implement these regulations, and periodically review them for continuous improvement.

We are committed to protecting your personal information in accordance with our Privacy Policy. The personal information that we collect or retain for the purpose of our business is as follows.

We will exercise the necessary and appropriate management and supervision to ensure that the contractor handles personal information securely.

9. Procedures for Disclosure

When an individual requests disclosure, etc. (notification of purpose of use, disclosure, correction, addition, or deletion of information, suspension of use, elimination, and suspension of provision to third parties) of his/her personal information in our possession, after confirming the identity of the individual making the request or his/her representative, we will respond to the request within a reasonable period and scope, correct, add, or delete the information, suspend use, eliminate, and suspend provision to third parties.

However, if we stop using or delete all or part of this information, we may not be able to provide the services you have requested, even though we may be reluctant to do so. (Personal information in our possession is described in (2) above.)

In addition, providing your personal information to us is voluntary. Please understand that if you refuse to provide your personal information, we may not be able to respond to your request for disclosure. We will not be held liable for any damages (including lost profits) incurred or disadvantages suffered by you as a result of this.

10. Procedure to request for disclosure and contact details

If you wish to request disclosure of your personal information in our possession, please contact the Inquiry Desk. Once we receive your request, we will send you our prescribed “Request Form for Disclosure of Personal Information” by post, fax, or e-mail. Please fill out the form and send it along with the necessary documents. (Postal charges are to be borne by the requesting party.)

For each request related to “disclosure” or “notification of purpose of use” of personal information, you will be required to pay a handling fee of 1,000 yen (including tax) by bank transfer. Please transfer the money to the designated account mentioned in the “Request Form for Disclosure of Personal Information” and send a copy of proof of payment enclosed with the form. (Bank transfer charges are to be borne by the requesting party.)

After confirming the identity of the person making the request (or his/her representative), we will respond to the application in writing.

Necessary Documents

A. When the person himself/herself makes the request

To make a disclosure request, please prepare the following documents and send them by registered mail.

  1. Request Form for Disclosure of Personal Information
  2. Identity verification document
    A copy of a document that verifies your name and current address, such as a driver’s
    license, passport, or health insurance card
    Note: Documents other than those listed above will be considered on an individual basis.
  3. Proof of payment
    (No fee is charged for correction, addition, deletion, suspension of use, or suspension of
    provision to third parties.)

B. When an agent makes the request

If the person making the request for disclosure is a legal representative or an authorized agent of the person to whom the personal information relates, please enclose the following documents in addition to the documents listed above.

(i) In case of a legal representative

  1. Documents to confirm that he/she has the right of legal representation
    A copy of the family register; in the case of a person with parental authority, a copy
    of the health insurance card with the dependent’s name is also acceptable.
  2. Documents to verify the identity of the legal representative
    A copy of a document that verifies the legal representative’s name and current address,
    such as a driver’s license, passport, or health insurance card
    Note: Documents other than those listed above will be considered on an individual basis.

(ii) In case of an authorized agent with power of attorney

  1. Authorization letter (to be submitted with the Request Form for Disclosure of Personal
    Information)
  2. Seal registration certificate of the applicant to whom the personal information relates
    (issued within the last 3 months of application)
  3. Documents to verify the identity of the authorized agent
    A copy of a document that verifies the authorized agent’s name and current address,
    such as a driver’s license, passport, or health insurance card

11. Security Control Measures for Protection of Personal Information

We will strive to prevent leakage of personal information through information security measures, such as the development and improvement of a system for protecting personal data, provide training and conduct educational activities for employees, put access-controlled systems in place to areas where personal data is handled, control access to personal data, and use anti-virus software. Further, personal information that is no longer retained will be disposed of or deleted in a secure and appropriate manner.

In order to ensure that these safety control measures are properly implemented, we have obtained certification for information security from third-party organizations, and will continue to maintain and improve our personal information protection system.

We will implement safety control measures based on our understanding of the systems for personal information protection in the following countries where personal information is stored.
